The University of Southern Mindanao hosted a benchmarking activity for Cotabato State University (CotSU) personnel namely Records Management Director Arlie Joy C. Bones and her staff Zulkiffer M. Mastura on practical archiving practices and document processes on February 10, 2026 at the USM Board room, USM Administration Building, Kabacan, Cotabato.

One of the highlighted practices during the activity was the utilization of USM’s document tracking system (DTS) and how the tool streamlines processes inside the university to accelerate efficiency in the workplace. Also, the team was introduced to the interactive LED screen—which is also an integral tool found at the USM lobby to track documents, view maps, and check updates. UICTO Director Professor Eugene G. Ranjo led the discussion and demonstration.

Following the demonstration, Rhea Anne Antonio of the USM Records Office introduced the office’s best practices including the proper archiving of documents, upholding the office’s Records Management and Archiving Unit (RMAU) Manual in the process, and the strict culture of collaboration between offices inside USM and outside including the National Archiving of the Philippines (NAP).

Antonio also emphasized the integral role of constant consultation with NAP in all their processes to avoid confusion and delays in the process.

“We try our best to consider the policies of NAP on taking actions on the documents like burying, burning, or shredding without permission from NAP. Ito po yung way namin para maiwasan po natin yung serious legal consequences.” She noted.

Prior to the mentioned activities, the delegation paid a courtesy visit to the office of USM president Dr. Jonald L. Pimentel.
